Privacy Policy — Desktop Apps

Introduction

InsightAgent Copilot ("the App") is a desktop application developed by InsightAgent Inc., available for macOS and Windows. It captures audio from a selected input device and streams it to the InsightAgent platform for real-time transcription during expert interviews. This Privacy Policy explains how the App collects, uses, and protects your information.

Information We Collect

Account Credentials

You sign in with your InsightAgent account (email and password). The App receives authentication tokens (JWT) from the InsightAgent backend and stores them securely using platform-specific secure storage. Your password is never stored locally.

Audio Data

When you start a streaming session, the App captures audio from your selected input device (microphone) and transmits it in real time over an encrypted WebSocket connection to the InsightAgent backend. Audio is streamed directly and is not stored on your device.

Device Information

The App accesses the list of available audio input devices on your computer to let you select which microphone to use. This information stays on your device and is not transmitted.

How We Store Your Data

The App stores minimal data locally:

macOS

  • Authentication tokens: Stored in the macOS Keychain (encrypted system storage)
  • User profile cache: Stored in UserDefaults
  • App preferences: Selected audio device and update settings

Windows

  • Authentication tokens: Stored in Windows Credential Manager (DPAPI-protected)
  • App preferences: Selected audio device and update settings

No interview audio, transcripts, or analysis data is stored on your device. All interview data is processed and stored by the InsightAgent platform, subject to the platform Privacy Policy.

How Your Data Is Used

  • Authentication: To verify your identity and connect to your InsightAgent account
  • Audio streaming: To transmit microphone audio to the InsightAgent backend for real-time transcription
  • Session management: To discover pending copilot sessions and manage streaming state
  • Updates: To check for and deliver app updates (Sparkle on macOS, Velopack on Windows)

Third-Party Services

The App communicates with the following services:

InsightAgent Platform

  • Data sent: Authentication credentials, audio stream
  • Purpose: User authentication, real-time audio transcription
  • Privacy Policy: InsightAgent Privacy Policy

Update Frameworks

  • macOS: Sparkle framework - sends current app version, macOS version
  • Windows: Velopack framework - sends current app version, Windows version
  • Purpose: Check for and deliver app updates

The InsightAgent backend may relay your audio to third-party transcription services (such as AssemblyAI) for processing. This is handled server-side and governed by the platform Privacy Policy and Terms of Service.

Permissions

The App requests the following permissions:

macOS

  • Microphone access: Required to capture audio. You can revoke this in System Settings → Privacy & Security → Microphone.
  • Network access: Required to communicate with InsightAgent servers.

Windows

  • Microphone access: Required to capture audio. You can revoke this in Settings → Privacy & security → Microphone.
  • Network access: Required to communicate with InsightAgent servers.

Data Security

  • Authentication tokens: Stored in platform-specific secure storage (macOS Keychain / Windows Credential Manager)
  • Encrypted transmission: All communication uses HTTPS and WSS (TLS-encrypted WebSocket)
  • No local data at rest: Audio is streamed in real time and not saved to disk
  • Signed applications: macOS app is signed and notarized by Apple; Windows app is code-signed

Data Retention

  • Local data: Authentication tokens persist until you sign out. App preferences persist until you uninstall the App.
  • Server-side data: Interview audio and transcripts are retained by the InsightAgent platform according to your account settings and the platform Privacy Policy.

Your Rights

  • Sign out: Remove all stored credentials from the App at any time
  • Revoke microphone access: Disable audio capture in system settings at any time
  • Uninstall: Remove the App and all local data
  • Data requests: For access, correction, or deletion of data stored on the InsightAgent platform, contact us at the address below

Distribution

macOS

Distributed as a notarized macOS application directly from InsightAgent. Not distributed through the Apple App Store. Updates are delivered automatically via the Sparkle update framework.

Windows

Distributed as a code-signed Windows application directly from InsightAgent. Not distributed through the Microsoft Store. Updates are delivered automatically via the Velopack update framework.

Children's Privacy

InsightAgent Copilot is intended for professional business use and is not directed at children under 13. We do not knowingly collect information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of changes by updating the "Last Updated" date at the top of this page. Material changes will be communicated through the App or via email.
